This Privacy Policy explains how Brooke / The Good Move (“I”, “me”, “my” or “the Coach”) collects, uses, stores and protects your personal information when you use my online coaching services, complete my forms, communicate with me, or use the platforms associated with my coaching services.

I take your privacy seriously and aim to handle your personal information responsibly and in accordance with the New Zealand Privacy Act 2020 and applicable privacy requirements.

1. What information I collect

The information I collect will depend on the coaching services you use.

Personal information

This may include:

  • Full name

  • Age or date of birth

  • Email address

  • Phone number

  • General location

  • Emergency contact information, where relevant

  • Information you provide when enquiring about or purchasing my services

Health and fitness information

To help me provide safe and appropriate coaching, I may collect:

  • Current fitness level

  • Training history and experience

  • Exercise preferences

  • Training goals

  • Injuries or physical limitations

  • Relevant health or medical information

  • Medications or other information relevant to exercise safety

Nutrition information

Where nutrition coaching is included in your service, I may collect:

You should only provide health, medical or other sensitive information that is relevant to your coaching and that you are comfortable sharing.

I may collect information directly from you through:

  • Enquiry and application forms

  • Typeform

  • Jotform

  • Client onboarding questionnaires

  • Nutrition questionnaires

  • Weekly check-in forms

  • Email

  • Direct messages and other communication

  • Consultations

  • Everfit, my online coaching platform

  • Information you voluntarily provide during your coaching relationship

I may also receive information generated through your use of Everfit, such as training records, programme completion and other coaching-related information.

3. Why I collect your information

I collect and use your personal information where reasonably necessary to:

  • Determine whether my coaching services are appropriate for you

  • Design and tailor your training programme

  • Provide nutrition guidance within the scope of my services

  • Monitor your progress

  • Provide coaching, feedback and accountability

  • Communicate with you about your coaching

  • Modify your programme based on your progress, circumstances and feedback

  • Keep appropriate coaching records

  • Process and manage payments

  • Respond to enquiries

  • Improve my services

  • Meet legal, accounting, insurance or other business obligations

  • Protect your health and safety where reasonably necessary

I aim to collect only information that is reasonably necessary for these purposes.

4. Sensitive information

Some information collected during coaching may be sensitive, including information about your health, injuries, medical history, nutrition, body measurements or relationship with food.

I will treat this information with care and will only use it for purposes connected with providing or managing your coaching services, meeting applicable legal obligations, or where otherwise permitted by law.

5. Third-party platforms and service providers

I use a number of third-party platforms to operate my coaching business.

These include:

Everfit

I use Everfit to deliver online coaching services, including training programmes, coaching communication, progress tracking and related client information.

Information you provide through Everfit may be processed and stored by Everfit in accordance with its own privacy policy and terms.

Typeform and Jotform

I use Typeform and Jotform to collect information through client questionnaires, applications, check-ins and other forms.

Information submitted through these platforms may be processed and stored by the relevant provider in accordance with its privacy policy.

Stripe

I use Stripe to process some client payments.

When you pay through Stripe, your payment information is processed by Stripe. I do not receive or store your full credit or debit card details.

Stripe may collect and process information in accordance with its own privacy policy and terms.

Bank transfers

If you choose to pay by bank transfer, I may receive and retain information associated with the payment, such as your name, account details appearing in the transaction and payment reference.

I only use this information for payment processing, reconciliation, accounting and related business purposes.

Google

I use Google services for business email and may use Google services for storing or managing business information and documents.

Information stored through Google services may be subject to Google's privacy and security practices.

6. Who may access your information

Your personal information may be accessed by me and, where reasonably necessary, by third-party service providers that help me operate my business.

These may include the platforms listed above, as well as professional advisers or service providers such as accountants, bookkeepers, insurers or IT providers where reasonably necessary.

I will not sell your personal information.

I will not disclose your personal information to another person or organisation unless:

  • You have given permission;

  • It is reasonably necessary to provide the service you have requested;

  • I am required or authorised to do so by law;

  • It is reasonably necessary to protect someone's health or safety; or

  • Another lawful basis for disclosure applies.

7. Storage and security

I take reasonable steps to protect your personal information against loss, misuse, unauthorised access, disclosure, alteration or destruction.

Information may be stored electronically through password-protected devices, Everfit, Google and other third-party platforms used to operate my business.

While I take reasonable precautions, no electronic storage or transmission system can be guaranteed to be completely secure.

8. Overseas storage

Some of the third-party services I use may store or process information outside New Zealand.

This may include Everfit, Typeform, Jotform, Stripe and Google.

Where personal information is stored or processed overseas, I will take reasonable steps to ensure that the information is handled in accordance with applicable New Zealand privacy requirements.

You should also review the privacy policies of these third-party providers for information about how they collect, use, store and process your information.

9. How long I keep your information

I will retain your personal information only for as long as reasonably necessary for the purposes for which it was collected.

Some information may need to be retained for longer to meet legal, accounting, insurance or other legitimate business requirements.

When information is no longer reasonably required, I will take reasonable steps to securely delete or destroy it.

10. Your right to access and correct your information

Under the New Zealand Privacy Act 2020, you generally have the right to request access to personal information I hold about you and to request correction of information that you believe is inaccurate, incomplete or out of date.

I may need to verify your identity before providing access to personal information.

11. Withdrawing information or consent

Where you have voluntarily provided information or consented to a particular use of your information, you may withdraw that consent where applicable.

Please understand that withdrawing information that is reasonably necessary for your coaching may mean that I am unable to provide some or all aspects of your coaching service.

For example, if relevant health information is not provided, I may need to modify your training programme or discontinue certain aspects of your coaching for safety reasons.

12. Progress photos, testimonials and marketing

Your progress photos, testimonials, messages, screenshots or other personal information will not be publicly shared without your permission.

If I would like to use your testimonial, progress story, photograph or other identifying information for marketing purposes, I will ask for your permission separately.

You are not required to provide a testimonial or progress photo in order to receive coaching.

13. Group coaching and community spaces

Some programmes may include access to a community, group chat, forum or other group environment.

Information that you voluntarily share in these spaces may be visible to other members.

Please consider carefully what information you choose to share in a group environment.

I will take reasonable steps to protect your information within the coaching environment, but I cannot control what another participant may copy, screenshot, save or share.

14. Marketing communications

If you choose to subscribe to my email newsletter or other marketing communications, I may use your contact information to send you information about:

  • Coaching services

  • Programmes and challenges

  • Resources

  • Events

  • Offers

  • Other relevant content

You can unsubscribe from marketing communications at any time using the unsubscribe option provided or by contacting me directly.

15. Privacy breaches

If I become aware of a privacy breach involving your personal information, I will assess the breach and take appropriate steps to contain, investigate and respond to it.

Where required by New Zealand privacy law, I will notify the Office of the Privacy Commissioner and affected individuals.
